A. The software program, for the purpose of making reports to the city council required by this chapter, shall be furnished by the police department via the vendor chosen by the police department. There will be no charge for this software or for the training necessary to complete the required reports.

B. All such report forms shall be designed as the COP may direct to contain space with proper captions for the furnishing of all information required by this chapter.

C. The secondhand dealer shall complete each record, which shall include a merchandise tag number for specified merchandise; the hour and day when such articles were purchased, pawned or consigned; the description of such specified merchandise including any brand name, model number, serial number or owner-applied number or name. Information on the person selling or pawning the item shall include name, address, and identification including driver’s license number or detailed description of seller. On the printed copy of the dealer’s record there shall be the signature of seller, and the name of authorized buyer/clerk.

D. All completed forms furnished to the COP by the terms of this chapter are retained in electronic format by the software vendor. Any written documents created or delivered to the police department shall be retained by the COP in conjunction with Oregon records retention schedules. [Ord. 856 § 7; Ord. 471 § 6.]
